Job Description
- Receive and closely follow up import inquiries/shipments from request stage until delivery to VFR on time.
- Proceed customs declarations accurately and complete import procedures in the shortest time.
- Control import-related costs effectively (import fees, Det/Dem charges, storage fees, re-mooc keeping fees) and minimize any incurred costs.
- Perform other ad-hoc tasks assigned by the direct Leader or Head of Department.
- Receive import requests and collect shipment documents/information from related departments (PUR/PLN/CS/HOS, etc.).
- Check express courier costs and create AWB / remote pick-up requests in the courier system when required.
- Arrange cargo insurance when needed; verify consistency and accuracy of import documents (B/L, invoice, packing list, Phytosanitary Certificate, C/O, etc.).
- Communicate and follow up with forwarders/carriers; track ETA and push for Arrival Notice and EDO issuance.
- Register plant quarantine on the Vietnam National Single Window via PQS (when applicable).
- Handle customs clearance for importing raw materials, machinery, and equipment accurately and on time.
- Monitor carrier Det/Dem and storage policies to prevent additional charges.
- Arrange transportation and coordinate delivery of shipments back to VFR factory on schedule.
- Send notification emails on delivery plans and import documents to related teams (WH/PLN/PUR/CS/HOS, etc.).
- Update daily import shipment status in tracking reports/lists.
- Create and follow up payment requests for import fees and related charges.
- Coordinate with other departments to resolve any issues arising from import shipments.
- Prepare reports as requested by the Head of Department and perform other related duties as assigned.
Requirements
- College/University graduate.
- Major in Foreign Trade or Import–Export operations.
- At least 2–3 years of experience in import documentation and handling import shipments.
- Good understanding of Incoterms.
- Good English skills in listening, speaking, reading, and writing.
- Familiar with ERP systems.
- Able to use Ecus5 (E-cus) software.
- Good MS Office skills.
