Job Description
- Act as the central point of contact for all parties related to each project including customers, VFR, and Sales.
- Receive all RFQs (Request for Quote) from the Sales team.
- Assess project details and work closely with the Hospitality Director to determine project suitability.
- Acknowledge receipt of RFQs with Sales and customers.
- Prepare all related documentation and spreadsheets with support from the Project Coordinator.
- Organize complete project folders for review by the Hospitality Director and CEO.
- Coordinate with Technical and Purchasing teams to obtain material specifications and costings.
- Identify and engage new suppliers when requirements fall outside standard availability.
- Ensure timely preparation of Bills of Materials with the Technical team.
- Monitor and expedite quotation reviews to meet submission timelines.
- Prepare and submit formal quotations to customers using standard templates.
- Keep Sales informed of RFQ status to manage customer expectations.
- Prepare master item lists, material lists and Gantt charts for approved projects.
- Coordinate daily with R&D, sample, planning, production, QA/QC and accounting teams.
- Coordinate daily with departments related to drawings, renderings, finishes, prototypes and product standards.
- Manage approval references, drawings, finishes and master documents in coordination with QA.
- Maintain regular communication with customers, Sales and internal departments on project status.
- Coordinate with vendors for subcontracted components or services.
- Update ERP systems with order, pricing, vendor, shipping and payment details.
- Prepare weekly and monthly project and management reports.
- Maintain full understanding of project requirements and customer expectations.
- Ensure thorough documentation throughout the project lifecycle.
- Track production and mockup progress daily to ensure timelines are met.
- Conduct project handover meetings with relevant departments.
- Coordinate with Import/Export to ensure smooth shipment documentation and processing.
- Support contract and payment term negotiations with senior management.
- Plan and implement after-sales services to maintain and improve product performance.
- Continuously improve customer service processes and performance metrics.
- Input customer orders and ensure timely release and shipment.
Requirements
- Excellent English communication skills, both written and spoken
- Mandarin skills are an advantage
- Strong proficiency in Microsoft Office (Excel, Word, PowerPoint)
- Strong teamwork mindset and “company first” attitude
- Professional working manner and positive attitude
- Confident communicator, able to present to customers and senior management
- Detail-oriented with strong project understanding
- Willingness to work in a production environment
- Honest, diligent and reliable character
- Graduate-level qualifications
- At least one year of experience working with ERP systems
- CV must be submitted in English
